GUIDELINES

NHK Global Media Services, as a news affiliate of Japan's public broadcaster NHK, has assisted and earned a considerable amount of confidence from NHK in the production of news and television programs, sports relays, datacasts, online content, closed captions, and suchlike. The firm has also pursued a range of independent activities, including Mobile News NHK News & Sports and other mobile services, interpreting and translation services, and the provision of sports content. It handles various types of personal information in the course of its activities.

The firm has always striven to provide suitable and stringent safeguards when handling personal information. In order to allay people’s concerns and retain their confidence in this rapidly evolving broadband era, it has put in place further safeguards in the form of the following guidelines concerning the protection of personal information:

  1. Purposes shall be clearly mentioned, and lawful and fair means shall be employed in the collection, use and provision of personal information.
  2. The use of personal information shall be limited to the extent necessary for achieving the purposes for which it was gathered, and due consideration shall be made to ensure that the use does not infringe on the rights of the client.
  3. A person/s shall be appointed for managing personal information, who shall strive to ensure the information is duly managed, implementing an appropriate and reasonable level of security measures to prevent any leaks, destruction, distortions or other mishaps concerning personal information.
  4. Unless otherwise required by law or similar circumstances, NHK Global Media Services shall neither disclose nor provide any personal data, without the consent of the client, to any other party, apart from contracted parties with whom NHK Global Media Services has concluded a confidentiality agreement.
  5. The firm shall have a designated point of contact for duly and promptly responding to any complaints or inquiries from a client concerning the handling of personal data, or any requests to give notice of the purposes for which personal data are being used, requests for disclosure, corrections, or halting the use of the personal data.
  6. NHK Global Media Services shall abide by the laws and regulations concerning privacy.
  7. NHK Global Media Services shall take a firm line against any act that detracts from the protection of privacy.

PERSONAL INFORMATION

DEFINTION

Personal information is information, including names, dates of birth, postal addresses, and e-mail addresses, which may identify specific individuals. NHK Global Media Services may in certain instances use personal information about a client when producing programs and suchlike for NHK or in the course of its independent activities.

USE OF PERSONAL INFORMATION

NHK Global Media Services shall use personal information about clients for the purposes set forth below. Personal information shall be duly handled to the extent necessary for achieving the purposes for which it was gathered. Purposes shall be clearly mentioned when personal information is gathered for other than the following purposes:

  1. Coverage and production of programs for NHK.
  2. Provision of mobile services, e.g. Mobile News NHK News & Sports, NHK Melody, NHK Sound.
  3. Interpreting and translation undertaken by Bilingual Center for the likes of interpreting on NHK broadcasts, interpreting for symposia and conferences.
  4. Seeking students and providing classes for the NHK Global Media Services International Training Institute.
  5. Producing content, marketing DVDs and the like for sporting organizations and other entities.
  6. Management of client contracts.
  7. Labor management (e.g. employment of staff, hiring, etc.), accounting, general administration, management of computer systems.
  8. Other tasks performed by NHK Global Media Services.

DISCLOSURE TO OUTSIDE PARTIES

NHK Global Media Services shall not disclose any personal information about a client to any other party except in the following instances:

  1. In the event NHK Global Media Services has the consent of the client.
  2. In the event NHK Global Media Services is required to do so by law.
  3. In the event it is necessary to protect lives, bodies and property in instances where it is difficult to obtain the consent of the client.

MANAGEMENT OF PERSONAL INFORMATION

NHK Global Media Services shall designate a person/s responsible for managing the personal information in its possession, who shall implement an appropriate and reasonable level of security measures to prevent any leaks, destruction, distortions or other mishaps concerning personal information.

REQUESTS FOR DISCLOSURE, ETC.

The designated contact point at NHK Global Media Services shall duly and promptly respond to any requests from a client to give notice of the purposes for which personal information is being used, requests for disclosure, corrections, additions, deletions, halting the use of the personal information, and halting the disclosure of personal information to outside parties (hereinafter referred to as “requests for disclosure, etc.”). However, personal information may not be disclosed, in whole or in part, in instances where the life, body, property or interests of the client or outside parties may be at risk, instances where there is likely to be considerable inconvenience for the proper implementation of the firm’s duties, and instances where disclosure would be against the law.

COMPLAINTS & INQUIRIES

The point of contact for any complaints or inquiries concerning the handling of personal information and any requests for disclosure, etc. is set forth below. A response according to in-house procedures shall be made once the identity of the person has been verified.
